Confidentiality
Tranquil Studio, Inc. values the trust placed in us by our partners, clients, and collaborators. The organization is often entrusted with sensitive personal, educational, or organizational information. Our policy is that confidential information will not be disclosed to any external party or internal staff member without a legitimate and documented need to know. All media or public inquiries must be directed to the Executive Director for official response or approval.
Conflicts of Interest
Employees, contractors, and board members must avoid any relationship or activity that could compromise—or appear to compromise—their ability to make fair, objective, and transparent decisions in service to the organization. Everyone associated with Tranquil Studio must maintain a position of loyalty to the organization and its mission. Under no circumstance may organizational property, information, or opportunities be used for personal or financial gain.
Potential conflicts of interest may include:
- Employment or consulting with a competitor, supplier, or contractor while serving with Tranquil Studio, Inc.
- Holding a board or leadership position in another organization with competing or overlapping interests.
- Owning or holding significant financial interest in a business that partners or contracts with Tranquil Studio.
- Accepting gifts, discounts, favors, or services from any partner, client, or vendor that could influence decision-making.
Violation of Code of Conduct and Ethical Practice
All staff, board members, and volunteers are required to review and acknowledge the Code of Ethics annually. Any violation of this Code may result in disciplinary action, up to and including suspension, removal, or termination of employment or partnership. Tranquil Studio, Inc. reserves the right to take corrective action to preserve integrity, transparency, and public trust.
Whistleblower Policy
Tranquil Studio, Inc. is committed to maintaining an environment where integrity, transparency, and accountability are upheld at every level of the organization. All staff, board members, volunteers, and partners are encouraged to report any suspected misconduct, unethical behavior, or violation of policy without fear of retaliation.
Reports may include but are not limited to concerns about fraud, misuse of funds, discrimination, harassment, safety violations, or conflicts of interest.
- Concerns should be reported directly to the Executive Director or a designated board member.
- Reports will be reviewed promptly, with confidentiality maintained to the fullest extent possible.
- No person who reports in good faith will suffer retaliation, adverse employment action, or loss of opportunity within the organization.
The organization will take all claims seriously and respond in a fair and timely manner consistent with its mission and legal responsibilities.
Record & Document Retention Policy
Tranquil Studio, Inc. maintains accurate and complete records to meet operational, legal, and financial responsibilities. All documents, whether physical or digital, are stored securely and retained for the period required by law or best practice.
Retention guidelines include:
- Financial and Tax Records (including annual 990 forms, audits, and budgets): Minimum of 7 years
- Grant and Contract Files: Minimum of 7 years after project completion
- Board Meeting Minutes and Governance Records: Permanently retained
- Personnel Files: 7 years after termination or conclusion of service
- Program Materials, Research, and Publications: Retained permanently as part of the organization’s intellectual archive
When retention periods expire, documents will be reviewed and securely destroyed in accordance with approved procedures. Electronic files are backed up regularly, and access is restricted to authorized personnel only.
